Administrative procedures

Every year, the University of Namur receives students, researchers and teachers from abroad.

The university’s services are ready to help you with the preliminary processes. To prepare for your stay in Belgium, we would encourage you to find out about the administrative steps involved in obtaining a visa, clarifying your social situation, etc. at the website of the diplomacy of Belgium.

Upon arrival, you will need to complete the following administrative steps:

Registration at the University

Complete the necessary paperwork at the University’s Service des inscriptions (Admissions Service) and pay your registration fee.

  • Mondays, Tuesdays, Thursdays and Fridays from 9:00am to 1:00pm;
  • Wednesdays from 9:00am to 1:00pm and from 2:00pm to 4:30pm;
  • Saturdays from 9:00am to 12:00pm from 1 July to 30 September ONLY.

Foreign persons' register

Within 8 days of your arrival in Belgium, you are required to attend the Service des étrangers (foreigners’ service) at your local town hall in order to register as a foreign resident. In Namur, the town hall can be found at the following address:

  • Monday to Friday from 8:00am to 4:00pm;
  • Saturdays by appointment only (from 8:30am to 11:30am).

If you are a student from the European Union

You will need to provide:

  • a valid national passport or identity card;
  • confirmation of your University registration (provided by the Admissions Service);
  • confirmation of your bursary or a declaration of your means of financial support (form to be completed at the Service des étrangers);
  • proof of health insurance cover for you while you are in Belgium:
    • a European Health Insurance Card, or
    • a certificate from a Belgian ‘mutuelle’ or health insurance provider, or
    • proof of private health insurance;
  • 2 passport photos;
  • €5;
  • and, if possible, your birth certificate.

Please note: Students who live near the Belgian border and choose to remain resident in their own country must simply declare that their stay in Belgium is of short duration, present their national identity card (or passport), provide three passport photos and proof of University registration, and pay €5. 

 

If you are a student from outside the European Union

You will need to provide:

  • your passport and study visa;
  • confirmation of your current university registration;
  • confirmation of your bursary or proof of your financial means of support;
  • 3 passport photos;
  • €5;
  • and, if possible, your birth certificate.

The Service des étrangers (foreigners’ service) will explain rest of the procedure to you.

Registration with a ‘mutuelle’ (Belgian health insurance provider)

Every person living in Belgium is legally obliged to be registered with a ‘mutuelle’ or health insurance provider.

Membership of a ‘mutuelle’ entitles you to receive the reimbursement of a large part of your medical, pharmaceutical and hospital-related expenses.

If you are a student from the European Union

If you are still covered by your home country social security, you will need to provide a European Health Insurance Card (EHIC).

If you are no longer covered by your home country social security, you will need to register with a ‘mutuelle’ in Belgium.  In order to do this, you will need a certificate of residence, and a ‘composition de ménage’ (an official document confirming who lives with you in your household) if you have dependants.  

These documents are provided by your town hall.

If you are a student from outside the European Union

You will need to register with a Belgian ‘mutuelle’ (health insurance provider).  For this, you will need to provide a certificate of residence, and a ‘composition de ménage’ (an official document confirming who lives with you in your household) if you have dependants.
