Administrative procedures

On your arrival, you are responsible to carry out the following administrative steps

Enrolment at the University

Complete your administrative file with the University's inscriptions service and pay your registration fees.

  • Monday, Tuesday, Thursday and Friday from 9:00 am to1:00 pm;
  • Wednesday from 9:00 am to 1:00 pm and from 2:00 pm to 4:30 pm;
  • Saturdays from 9:00 am to 12:00; ONLY from the 1st of July to September 30th.

You have eight (8) days from your arrival to register with the Municipal authorities as a foreign national.

  • Monday, Tuesday, Wednesday, Friday from 8:00 am to 4:00 pm;
  • Saturday, by appointment only (from 8:30 am to 11:30 am).

If you are student from the European Union

At this municipal office you must provide:

  • a valid national passport or a valid national identity card;
  • a certificate of inscription at the University (delivered by the inscriptions service);
  • a certificate confirming a bursary or a declaration relating to your means of financial support (form completed by the foreign service);
  • the proof of a health insurance covering risks in Belgium:
    • or a European health insurance card,
    • or a certificate of a Belgian mutual health insurance organisation,
    • or a proof of private health insurance;
  • 3 identity photos;
  • 5 euros;
  • and, if possible, your birth certificate.

Note: for the students living near the Belgian border who choose to keep their principle residence in their country, they must declare that they are only on a short stay in Belgium, present their national identity card (or passport), three identity photographs, the certificate of inscription at the University and pay 5 euros.

 

If you are student from outside the European Union

At this municipal office you must provide:

  • a passport with a study visa;
  • a certificate of inscription at the University;
  • a copy of the certificate confirming a bursary or a declaration relating to your means of financial support;
  • an identity photo;
  • 5 euros.

The Foreign Service will explain the rest of the procedure to you.

Inscription with a Mutual (health insurance)

The inscription with a mutual (health insurance organisation)  is a legal obligation for any person living in Belgium.

It enables you to obtain a refund for most medical and pharmaceutical expenses and in case of hospitalization.

If you are student from the European Union

If you are still covered by the social security programme of your country, you must provide a European Health Insurance card (CEAM)

If you are no longer covered by the social security programme of your country, you must affiliate with a mutual in Belgium. To do this, you must provide a certificate of residence and a household composition (if you have dependants living with you).

If you are student from outside the European Union

You must be enrolled with a Mutual (health insurance organization), to do this, you must provide a certificate of residence and a household composition (if you have dependants living with you).
