"Déclaration d'arrivée" (Declaration of arrival)
Delivered by the City Hall.
When your stay does not exceed three months, one visit is enough for declaring your arrival. You will receive a document called "Déclaration d’arrivée" (declaration of arrival). If your scientific stay is extended, and you are not a "Schengen citizen", you have to subscribe to a "Welcome to Schengen" insurance policy.
You need to inform the municipal authorities of your place of residence and of your presence in Belgium, in person, by requesting a declaration of arrival. In case a foreigner is residing in a hotel, this formality will be completed by the hotel management. In this case the foreigner will not physically be in possession of a declaration of arrival.
A declaration of arrival can be obtained from the municipal authorities of the town where the the foreigner is residing. In order to obtain this document, the foreigner will need to go by within 10 days after arrival, holding a passport and three passport-sized photograph. Some municipal authorities require the payment of a fee.
In practice this formality is hardly ever fulfilled by foreigners and non-compliance with this rule is not sanctioned.
Required documents:
- Passport;
- Rental agreement;
- 3 passport-sized photographs.

Extension of the Declaration of arrival
As soon as you are informed that your stay which was initially scheduled for maximum 90 days is extended, you must apply for an extension of your declaration of arrival.
You must go to the Town Hall with the following documents
- passport;
- Déclaration d’arrivée (the paper you received from the Town Hall at your registration);
- any official document proving that the prolongation of your stay is approved for the scientific work;
- "Welcome to Schengen" policy insurance.
